Project Type

01 – Challenge

The problem

Leadership and bookkeeping support needed answers for revenue swings, clearing-account issues, reconciliation problems, and recurring bookkeeping questions without guessing from exported spreadsheets or making risky changes directly in QuickBooks.

02 – Approach

The strategy

Treated the financial file like an investigation first. Pulled evidence, organized issue-by-issue review tracks, built response packs for CPA questions, and kept any writer path explicitly gated behind reviewed findings so the analysis stayed trustworthy.

03 – Solution

What was built

Created a QuickBooks Online review workspace with encrypted OAuth access, repeatable pull tools, bookkeeping review folders, issue trackers, CPA-ready evidence packs, and documented remediation flows for clearing-account cleanup, Ask My Accountant review, and reconciliation support.

04 – Outcomes

The results

Turned scattered bookkeeping questions into a structured review process with durable evidence

Created a safer path for cleanup by separating investigation from mutation

Improved handoff quality for CPA and bookkeeping follow-up work

Made recurring reconciliation and account-review work repeatable instead of memory-driven

05 – The Story

How the work actually came together

This work mattered because accounting confusion compounds. When a file has clearing-account noise, inconsistent categorization, and unanswered questions sitting on top of each other, every new month gets harder.

The solution was not a heroic one-time cleanup. It was a finance review system that could pull evidence, keep issue status legible, and support real follow-through with CPA and bookkeeping stakeholders.

That meant building a workspace that stayed read-first by default, organized the review by issue, and only exposed the writer path when the corrective action was actually understood and approved.

For a church environment, that created a calmer and more defensible way to answer questions, clean up accounts, and move toward better operational finance hygiene.

What mattered

The point was not to install software and walk away. The point was to create an operating layer the business could trust, improve, and own after handoff.

That meant documenting the system, making the workflow legible, and removing the extra work that shows up when teams are forced to manage operations across disconnected tools.
